Sewa Bhav Foundation (“Sewa Bhav Foundation”, “we”, “our” or “us”) values the contribution of volunteers in supporting community development, child protection, women and community empowerment, digital safety awareness, mental wellbeing, education and other social initiatives.

This Volunteer Policy outlines the general principles, roles, responsibilities and expectations applicable to individuals who volunteer with Sewa Bhav Foundation.

1. Purpose

This Policy establishes general guidelines for volunteer engagement, conduct, safety, responsibilities and participation in activities, programs and initiatives associated with Sewa Bhav Foundation.

The purpose of these guidelines is to help create a safe, respectful, responsible and supportive environment for volunteers, beneficiaries, communities, staff members and other individuals associated with organizational activities.

2. Volunteer Engagement

Individuals who support the mission and values of Sewa Bhav Foundation may express their interest in volunteering through the applicable registration process or other approved channels.

Submission of a volunteer registration or expression of interest does not guarantee selection or engagement.

Volunteer opportunities may depend on factors such as:

  • Organizational requirements.
  • Availability of suitable opportunities.
  • Relevant skills, experience or interests.
  • Nature of the activity or program.
  • Safeguarding or other role-specific requirements.

Sewa Bhav Foundation may contact applicants for further communication, clarification, verification or coordination where appropriate.

3. Volunteer Responsibilities

Volunteers are expected to:

  • Act respectfully, responsibly and professionally.
  • Follow applicable organizational policies, guidelines and reasonable instructions.
  • Treat beneficiaries, community members, staff and fellow volunteers with dignity and respect.
  • Maintain confidentiality where required.
  • Respect personal boundaries and appropriate professional conduct.
  • Participate responsibly in assigned or agreed activities.
  • Promptly report relevant concerns, incidents, risks or safeguarding issues.
  • Avoid making false representations on behalf of Sewa Bhav Foundation.
  • Use organizational resources, information and materials responsibly.

4. Code of Conduct

Volunteers are expected to maintain ethical and responsible behaviour during activities connected with Sewa Bhav Foundation.

Volunteers must not engage in:

  • Discrimination or unfair treatment.
  • Harassment, bullying or intimidation.
  • Abuse, exploitation or harmful conduct.
  • Sexual harassment or inappropriate behaviour.
  • Conduct that may endanger children, vulnerable individuals or other participants.
  • Unauthorized use of confidential or personal information.
  • Misrepresentation of their role or authority.
  • Any conduct that may reasonably cause harm or significantly affect the safety, dignity or reputation of individuals or the organization.

5. Child Protection and Safeguarding

Volunteers involved in activities with children or vulnerable individuals must comply with applicable safeguarding requirements and the organization’s Child Protection and Safeguarding Policies.

Depending on the nature of the role or activity, volunteers may be required to provide additional information, identification, references or other relevant documentation.

Volunteers must promptly report any safeguarding concern, suspected abuse, exploitation, neglect or other serious risk through the appropriate organizational channel.

6. Confidentiality and Privacy

Volunteers may receive or have access to personal, confidential or sensitive information in connection with organizational activities.

Such information must be handled responsibly and must not be:

  • Shared without appropriate authorization.
  • Used for personal benefit.
  • Disclosed unnecessarily to other individuals.
  • Used in a manner that may cause harm or violate privacy.

Volunteers should follow applicable privacy, confidentiality and data-handling requirements relevant to their activities.

7. Health, Safety and Responsible Participation

Volunteers are expected to follow reasonable safety instructions and take appropriate care during organizational activities.

Any accident, injury, unsafe condition or significant risk observed during an activity should be reported promptly.

Volunteers should not undertake activities that they are not authorized, trained or reasonably prepared to perform.

8. Use of Name, Resources and Representation

Volunteers must not represent themselves as authorized spokespersons or representatives of Sewa Bhav Foundation unless specifically authorized to do so.

The Foundation’s name, logo, materials, resources and other organizational property should be used only for approved organizational purposes and in accordance with applicable guidelines.

9. Suspension or Termination of Volunteer Engagement

Sewa Bhav Foundation may suspend, restrict or end a volunteer’s participation where reasonably necessary, including where:

  • Organizational policies or guidelines are violated.
  • Conduct is inappropriate, unsafe or harmful.
  • Safeguarding, confidentiality or privacy requirements are breached.
  • The volunteer misrepresents their role or authority.
  • Continued participation is no longer appropriate for organizational or operational reasons.

Where appropriate and reasonably possible, the circumstances may be reviewed before a decision is made.

10. No Employment or Contractual Relationship

Unless specifically agreed otherwise in writing, volunteer participation does not create an employment relationship, entitlement to salary, financial benefit or other contractual relationship with Sewa Bhav Foundation.

11. Policy Review and Updates

This Volunteer Policy may be reviewed and updated from time to time to reflect changes in organizational activities, practices or applicable requirements.
